STATUS/HOURS/PAY: Non-Exempt/Salaried – Monday - Thursday, 9 am to 2 pm with ½ hour lunch. Pay range $15-$17 per hour based on experience. POSITION SUMMARY: Provide secretarial support and services to the Pastor, church staff, choir personnel, church committees and congregation. Serve as the church receptionist; coordinate the overall office functions for the church. REPORTS TO: Senior Pastor PRIMARY RESPONSIBILITIES: Assist the church pastor with secretarial support as needed Assist other church staff in their church related functions as needed Maintain church calendar; coordinate use of the church facilities for all groups Prepare and gather information for weekly church bulletin. Prepare special service bulletins as needed Input Sunday worship service information in Pro Presenter Prepare announcements via Power Point, for Sunday morning services Create, distribute and post monthly church newsletter. Communicate with congregation by sending e-mail announcements and updates using Constant Contact and/or postal service, as required. Answer phone and screen/route incoming calls. Respond to church office email and correspondence as needed Provide general information to church visitors, and church members Handle building use agreements and contracts Attend monthly Church Council meetings; record minutes of the meetings. SECONDARY RESPONSIBILITIES: Assist with the church’s social media platforms and website management as needed Assist the church treasurer in preparing annual conference and denominational reports Maintain membership rolls, church directory, and congregation data base to ensure accuracy Coordinate with various groups/teams within the church and maintain sign-ups for various events as needed. Monitor and order supplies: office, kitchens and custodial Secure storage of all church office documents/records minutes, annual reports, historical documents, marriage, baptism, etc. Run errands as needed. Maintain office petty cash with accuracy and receipts Schedule routine maintenance & repairs on all office equipment. Maintain communication with vendors and services. KNOWLEDGE AND SKILLS: Effective verbal and written communication skills, with excellent English composition and punctuation Capacity to work well with congregation and church Council Demonstrate high degree of independent action and flexibility, with minimal supervision Positive, organized, good at multi-tasking, prioritizing projects and a team player Other important characteristics: good judgment, diplomacy confidence and flexibility Maintain confidentiality for all matters within the office Minimum Typing - 65 WPM with accuracy Strong Computer Skills - using Microsoft Windows, Word, Excel, Adobe, Access, PowerPoint, Outlook, Constant Contact, PowerChurch, Prezi Proficiency in the Use of Standard Office equipment PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is occasionally required to stand, walk, and/or sit. The employee must occasionally lift and/or move up to 25 pounds. The noise level in the work environment is usually moderate.
